Mastering subitems and nested tasks in monday.com for complex projects
We have complex projects with multiple layers of subtasks. I've heard subitems in monday.com can help but they seem clunky. What's the best way to structure subitems for complex projects? Are there alternatives to subitems for hierarchical task management?

Subitems are powerful when used correctly. The key is understanding when to use them vs. separate boards: 1) Use subitems when the subtask is directly tied to the parent item's lifecycle - if the subitem completes but the parent is still in progress, use subitems. 2) Use separate boards when the subtask could exist independently or be assigned to someone outside the parent project. Structure tip: create a 'Subitem Template' in your board settings with pre-defined columns for subitems (status, assignee, due date, hours). This ensures consistency. For reporting, use the 'Subitems in item' view to see all subitems across the board in one list. One gotcha: automations on subitems are separate from parent automations - you can't trigger a parent status change when all subitems complete without using custom automation recipes.
For very complex projects (3+ levels of hierarchy), consider using 'connected boards' instead of subitems. Create a 'Master Project' board that connects to 'Phase' boards, which connect to 'Task' boards. This gives you more flexibility but makes reporting harder. We use a hybrid: top-level phases as groups within one board, tasks as items, and detailed subtasks as subitems. This gives us 3 levels without the complexity of multiple connected boards.
