monday.com templates for healthcare: Patient intake and care coordination
We run a specialty medical practice with 8 providers. Looking to use monday.com for patient intake, appointment scheduling, and care coordination. Need HIPAA-compliant setup. Has anyone built healthcare workflows in monday.com? What templates or board structures work best? Concerns about data security with patient info.

We use monday.com for care coordination at a 12-provider clinic. Here's what works: Patient Intake Board: Name, DOB, Insurance, Contact Info, Referring Provider, Initial Complaint. Use 'Person' column for patient with strict permissions. Critical Setup: Enable 'Private by default' on all boards. Create permission groups: Admins (full access), Providers (own patients only), Front Desk (limited columns). Never put diagnosis codes or treatment notes in monday - that's for your EHR. HIPAA Note: monday.com is not HIPAA-compliant out of the box. You need Enterprise plan + BAA (Business Associate Agreement). We had to sign BAA before storing any PHI. Contact your CSM for BAA. Workflow: Patient calls → Front desk creates item → Provider gets notification → Initial consult scheduled → Task created for follow-up. Automations handle 60% of the manual routing.
Would not recommend monday.com for healthcare with PHI. The BAA process is complex and expensive. Better to use dedicated healthcare CRMs or integrate monday.com with your existing EHR via API for scheduling only, keeping all PHI in the EHR. We tried the hybrid approach and it created more problems than it solved.
